This policy explains what personal information we collect through this website, what we do with it, and what you can ask us to do about it. We have tried to write it in plain English rather than legal language.
Who we are
City on the Hill Kingdom Restoration Ministry (COTHKREM) runs this website and is responsible for the personal information collected through it.
If you have any questions about your information, or want to ask us to do something with it, contact us by email at cityonthehill.2024@gmail.com or by phone on +44 7943 511210.
What we collect, and when
You do not need to give us any personal information to read this website. There are no accounts, no logins and nothing to sign up for.
When you use the contact form
The form asks for three things: your name, your email address, and your message. These are sent straight to the church’s email inbox. They are not stored in the website’s database.
We also record your IP address for up to one hour, purely to stop automated spam — it limits how many messages can be sent from one internet connection in an hour. After an hour it is deleted automatically.
Web server records
Our hosting provider, Hostinger, keeps standard server logs, which include visitors’ IP addresses. These are used to keep the website secure and running.
What we do with it, and why
Under UK data protection law we have to tell you our reason — our “lawful basis” — for using your information. In every case below it is our legitimate interests: running a church website and replying to people who get in touch.
- Your name, email address and message — so we can read your message and reply to you.
- Your IP address, for one hour — so the contact form cannot be flooded with spam.
- Server records — to keep the website secure and available.
We do not sell your information, use it for advertising, or share it with anyone else except as described below.
How long we keep it
Messages sent through the contact form arrive as emails. We keep them for twelve months and then delete them, unless there is an ongoing reason to keep a particular message — for example, a conversation that is still going on.
The church email inbox is accessible to the Pastor and one administrator.
Other organisations involved
Hostinger hosts this website on our behalf, under a contract that limits what they may do with any data. They are the only company that handles anything for us.
Everything else this website needs — its typefaces, its images and its code — is served from our own server. Your browser does not contact any other company while you are reading these pages.
Links to other websites. We link to Zoom, Instagram, Facebook and TikTok. These are ordinary links — nothing is shared with those companies unless you click through, and once you do, their own privacy policies apply rather than ours.
Cookies
This website does not use any advertising, analytics or tracking cookies. Nothing here follows you around the internet.
The only cookies are technical ones needed for the site to work — for example, when a church administrator signs in to manage the website, or to help pages load quickly. Because we set no tracking cookies, there is no cookie banner to click through.
Photographs
We publish photographs of church life, including services, ministries and community events. People who appear in them have agreed to be photographed and for those photographs to be used.
Where a photograph shows a child or young person, we ask their parent or guardian for permission before publishing it.
If you would like a photograph of you or your child removed from this website, contact us at cityonthehill.2024@gmail.com and we will take it down. You do not need to give a reason.
Children
This website is not aimed at children, and we do not knowingly collect personal information from anyone under 13 through it.
The church has a safeguarding policy, which is available on request.
Safeguarding contact: Mrs Ojedele, +44 7950 385071.
Your rights
Under UK data protection law you can ask us to:
- Show you what personal information we hold about you
- Correct anything that is wrong
- Delete it
- Stop using it in a particular way, or object to how we are using it
- Send it to you, or to someone else, in a portable format
To do any of these, email us at cityonthehill.2024@gmail.com. We will reply within one month, and there is no charge.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.
Keeping your information safe
This website is served over an encrypted connection (HTTPS), so anything you send through the contact form is encrypted in transit. Access to manage the website is limited to a small number of people, each with their own account.
Changes to this policy
